How a service transfer works
Service delivery model
Delivery follows agreed milestones before and after the change date. Remote coordination manages documentation; site activity covers access, practical familiarisation and physical items. Temporary overlap is planned where continuity requires it.
Our responsibility and your interface
We coordinate the agreed transfer and make gaps visible. The client confirms authority, contract boundaries and acceptance. Outgoing and incoming providers retain responsibility for their assigned work until the agreed transfer point.
Technology and systems
We agree record formats, ownership and access before export or transfer. System accounts, keys and permissions have named owners; access is issued or withdrawn through the client's authorised process.
Compliance and governance
Maintenance and inspection obligations remain visible through the change. HSE's managing health and safety guidance provides context for reviewing arrangements when operations change. Personnel and contractual matters receive the relevant specialist review.
Priorities and response management
We agree the exact date and time when requests change route, emergency contacts and escalation for failed readiness checks. Unfinished jobs retain a named owner and priority during the handover.
Measuring performance
Track readiness tasks completed, critical records received, open jobs reconciled and handover exceptions accepted. A percentage-complete figure is supported by a separate list of items that could prevent a safe or workable start.
Reporting and visibility
A milestone report shows owners, deadlines and blockers. The final handover record states what transferred, what remains open, where evidence is stored and which party accepted each outstanding action.
Service and site information
Provide contracts, scope schedules, asset lists, maintenance dates, inspection records, supplier contacts and work in progress. Access information is exchanged through authorised channels rather than placed in ordinary handover documents.

Frequently asked questions
Can a service start with missing records?
The significance of each gap must be assessed. We identify what is required before start, what can be recovered later and who owns the interim arrangements; unresolved critical items need a decision before transfer.
Who owns jobs open on the change date?
The transfer plan names the responsible party for each job, including purchase orders, parts and follow-up attendance. A provider change should not leave the job unassigned.
Does demobilisation include deleting all records?
No. Retention and transfer requirements determine what must be preserved. Access removal and record retention are separate decisions handled through the authorised process.
Can you coordinate a single trade contractor change?
Yes. The plan can cover a defined service package, with interfaces to the wider FM team and other contractors made explicit.
