We define the task and required evidence, identify an appropriate contractor, confirm the scope and approval, arrange the site interface, then monitor delivery. At completion we review the work record and outstanding items against the instruction before recording acceptance.
Facilities Management
Contractor and Supply-Chain Management
Black & White Facilities manages contractor appointments, work instructions, site coordination and performance across an agreed service scope. We bring the brief, delivery requirements and completion evidence together so each contractor understands the job and the client can follow the result.

Service overview
Managing contractors involves more than arranging attendance. The work needs a defined outcome, an appropriate delivery route, access arrangements, coordination with other activities and a clear basis for acceptance.
Supply-chain management adds continuity: understanding which services depend on particular suppliers, what happens when a specialist is unavailable and how materials or subcontracted work affect the programme. We address these dependencies when planning the service.
Who this is for
This service suits facilities teams, managing agents and estate operators working with several trades or specialist suppliers. It also supports clients retaining existing contractors while introducing consistent instructions, reporting and commercial controls.
What we manage and deliver
Outputs include a contractor register, service allocation, onboarding requirements, work instructions, quotation comparisons, delivery reviews and an outstanding-action list. Scope and cost depend on contractor numbers, trade complexity, procurement workload, site supervision and the depth of commercial review required.
Typical service activities
We collect relevant appointment information, clarify quotations, arrange access and induction, coordinate work windows and review reports. We check the boundaries between packages, including who supplies materials, makes good disturbed finishes, tests the result and removes waste.
How an instruction works
Service delivery model
Arrangements can combine retained client contractors, planned specialist visits and task-specific appointments. We agree whether Black & White Facilities is coordinating a client appointment or placing an instruction under its own service arrangement. That distinction determines the commercial and reporting route.
What we take responsibility for
We coordinate the appointed scope, information flow and delivery follow-up. The client confirms authority to instruct and any landlord or occupier interfaces. Contractors remain responsible for their work and the people they direct; appointment and site arrangements make those responsibilities explicit.
Technology and systems
The contractor register records service scope, key contacts, document review dates and appointment status. Work records connect instructions, changes, quotations and completion evidence. We agree document access and export arrangements so the client can retrieve the material needed to manage the service.
Compliance and governance
Contractor selection, risk information, cooperation and supervision all form part of managing work safely. HSE's Using Contractors guide explains these responsibilities. We build relevant checks into the work plan and share site hazards and operating constraints before attendance.
SLA and response management
We agree the required service stages and escalation contacts for each package. Where a supplier cannot meet the required programme, we identify the impact and next option. A substitute contractor still needs the right brief, competence checks and access arrangements.
KPI and performance management
Measures can include instruction acceptance, attendance against plan, repeat visits, quality defects, document completeness and unresolved commercial changes. Reviewing these by trade and work type helps distinguish a supplier problem from an incomplete brief or restricted site access.
Reporting and client visibility
The client receives visibility of appointed work, delivery exceptions, pending decisions and supplier actions. Quotation reviews make inclusions, exclusions and provisional items clear, rather than comparing headline totals alone.
Asset, site and portfolio data
We connect contractor scope to the sites and assets it covers. Site information includes access, inductions, permits, operating hours and contacts. We record specialist dependencies and relevant warranties so a routine instruction does not overlook a contractual or technical interface.
Our delivery process
We review the current supplier arrangements, identify gaps and agree onboarding and instruction controls. Routine reviews address quality and continuity. At transition, we hand over the contractor register, open instructions, outstanding commercial issues and the agreed document set.
Service outcomes
Clear instructions and coordinated work help reduce avoidable disputes, repeated visits and gaps between trades. You gain a usable view of who is delivering each service and what needs attention.
Why Black & White Facilities
We focus on the interfaces that often cause delays: incomplete scope, missing access information, unclear approvals and unfinished making good. Those details are addressed in the instruction and checked again at completion.
Locations we cover
We plan contractor arrangements across the listed coverage, including Newcastle upon Tyne, Gateshead, Sunderland, Durham, Darlington and Middlesbrough, and sites throughout Northumberland, Tyne and Wear, County Durham and Tees Valley. Geography, specialist availability and travel are considered in the service plan. View all locations.
FAQs
Can you coordinate contractors we already use?
Yes. We agree the instruction, payment and reporting boundaries for retained contractors, then establish a common process for access, updates, changes and completion evidence.
How are quotations compared fairly?
We compare the work included, quantities, materials, access assumptions, testing, making good and exclusions. Differences are clarified before a recommendation, so a lower total is not mistaken for the same scope.
Who approves additional work discovered on site?
The agreed authorising contact approves changes within the client's approval arrangements. The contractor provides the reason, cost and programme effect, and the instruction records the decision before additional work proceeds through that route.
What happens when two trades need the same area?
We agree the order of work and the handover between trades. This includes isolations, working space, protection, testing and making good, so one activity does not prevent or undo another.
Does onboarding finish once documents are collected?
No. Documents support appointment decisions, but the contractor also needs a clear task brief, site information and suitable coordination. We review delivery and refresh relevant information as the work or appointment changes.
