Service overview

A key performance indicator, or KPI, is a defined measure of an aspect of service delivery. Useful KPIs explain whether the service is meeting its purpose: maintaining availability, completing planned work, resolving faults or controlling the work backlog.

The number alone rarely explains what happened. We review trends, exceptions and the underlying records so a favourable average does not conceal repeated failures or unfinished high-priority work.

We agree how data is collected from job records, asset registers and supplier reports. Definitions identify the source fields, calculation, exclusions and reporting period. Any missing or unreliable inputs are visible in the report; the working arrangement and export format are agreed during setup.

Compliance and governance

Performance reporting keeps significant inspection findings and overdue actions visible. Results link back to their supporting records, and corrections remain traceable. A management score is a summary of defined measures; it does not replace the underlying evidence or technical decisions.

SLA and response management

Where a KPI measures an SLA, the calculation follows the agreed service-stage definition and timing rules. We show missed targets with their context and agreed exclusions. A change in measurement rules is dated and explained so it does not create a misleading improvement trend.

KPI and performance management

We balance measures of speed, quality and unresolved work. Examples include planned tasks completed by their due date, repeat faults, overdue actions by priority and evidence completeness. For each percentage we show the count behind it: one missed task out of five tells a different story from one out of five hundred.

Reporting and client visibility

A useful report leads with material changes and decisions required, then provides the supporting detail. Portfolio results can be broken down by site, supplier, asset family or priority. We highlight weak performance even when an overall score is on target.

Consistent site and asset references make comparisons possible. We record changes such as added sites, new equipment, altered hours or inherited backlog. Where sites have different operating conditions, comparisons explain the differences rather than presenting an unexplained league table.

FAQs

How many KPIs should an FM service have?

Use enough to cover the important service outcomes without duplicating measures. We start with the decisions the client needs to make and select a focused set covering delivery, quality and outstanding work.

Can you work with incomplete data?

Yes. We assess which measures the records can support and identify the missing inputs. Early reports explain those limits and include a practical plan to improve the data before relying on more detailed comparisons.

Why can a good average hide poor service?

An average combines different results. Many quick low-impact jobs can outweigh a few serious delays. We therefore show priority, outliers and open work alongside averages.

Should all sites have identical targets?

Some measures can be common, but targets need to reflect the agreed service and operating conditions. We identify the differences, such as service hours or asset criticality, and explain how comparisons are made.

What happens after a KPI misses its target?

We check the evidence, identify the cause and agree the next action with an owner and review date. Subsequent reports show whether the action was completed and whether performance changed.
