Describe the outcome required as well as the immediate issue. The starting information should identify the location, people affected and any change in use, so the assessment addresses the current requirement rather than simply repeating the previous arrangement.

What the service can include

The service brief identifies the product range, equipment, supply arrangements, replenishment, cleaning and reporting. It defines payment arrangements where relevant and who owns or maintains the machines. Water, power, drainage and waste requirements are considered before positions are agreed.

Decisions that shape the service

Equipment availability and consumable supply are separate responsibilities. A replenishment visit does not automatically include technical repairs. Food and allergen information must suit the products and service method, with a process for changes to stock or ingredients.

The proposal identifies the responsibilities that remain with the site or property team and the work included in our instruction. Connected repairs and specialist activities receive their own clear scope, so each person understands what they must arrange and what records they will receive.

Assessment and preparation

Provide workplace numbers, opening hours, existing machine details and demand information. Identify delivery routes, storage, waste and cleaning arrangements. Agree the person responsible for product choices, equipment faults and service feedback across sites.

How the service proceeds

We assess the location and intended use, then define the refreshment offer and service responsibilities. Setup coordinates equipment and supplies with the premises. Handover explains replenishment, cleaning, fault reporting and the records needed for the agreed arrangement.

For several sites, we agree consistent reporting and escalation while retaining local contacts and operating requirements. Each action stays connected to its building or service area, with a named route for decisions that affect the wider operation.

Cost, timing and disruption

Product range, usage, equipment basis, replenishment frequency and utility work affect cost. Installation, consumables and maintenance may use different charging arrangements. The proposal should identify these clearly so the owner can compare ongoing cost as well as the initial setup.

Tell us about operating hours, critical periods and the activities that must continue. The programme and price should reflect those constraints, including any phased delivery, additional access arrangements and reporting needed by the operational team.
