What Is a Facilities Helpdesk?
A facilities helpdesk is the organised route for receiving, recording and following up building-service requests. It captures the information needed to direct the work, tracks the next action and helps the person reporting the issue understand its progress.

From report to resolution
- Record: create a traceable request and confirm the location and requirement.
- Assess: establish impact, priority and the information still needed.
- Route: allocate the next action to the appropriate person or service.
- Arrange: confirm authority, access and the attendance or investigation required.
- Update: record findings, progress and reasons for delay.
- Close or follow on: explain the result or create an owned action for remaining work.
These stages explain why acknowledgement and completion should not share the same target. A response can confirm that the request is recorded without implying that an engineer has attended or the defect has been resolved.
Avoiding duplicate and abandoned requests
Repeated reports about the same problem should be linked, while preserving the information supplied by each reporter. Opening a new unrelated record for every call hides the history and can lead to conflicting instructions.
Equally, a request awaiting access, parts or approval should have a visible reason and next action. A label such as 'pending' is not enough to tell the client what it needs to do.
Helpdesk and emergency arrangements
The helpdesk's operating hours, escalation contacts and emergency instructions belong in the service setup. A facilities reporting route does not replace emergency services where an immediate danger requires them. The client should make the relevant site emergency arrangements known to building users.

Does a helpdesk have to use a particular software product?
No. The essential features are consistent information, clear responsibility and traceable updates. Any chosen system must support those requirements and the client's access rules.
Who decides the priority?
The agreed priority framework defines how impact and urgency are assessed. The person receiving the report needs enough information to apply it and an escalation route for uncertain cases.
When should a job be closed?
Close it when the agreed closure condition is met and the result is recorded. If follow-on work remains, identify it explicitly and give it an owner rather than losing it with the original request.
