For each job, we confirm the premises, task, asset details and contact. The instruction establishes the resource, materials information and access requirements. After attendance, the record shows work completed, findings and anything preventing completion. Follow-on work receives its own scope instead of becoming an unexplained return visit.
Facilities Management
Mobile Facilities Management
Mobile facilities management delivers agreed facilities activities through resources travelling between premises. It combines visit planning, site information, task coordination and follow-up without requiring every building to have a permanently based facilities team.

Service Overview
A successful mobile visit starts before anyone travels. The task needs to be clear, the building accessible and the right information available. A visit that fails because nobody can open a plant room consumes time without moving the work forward.
We plan around the actual task, skill required and access window. Routine checks and suitable minor work can be grouped into a planned visit; specialist activities need their own technical scope and resources.
Mobile support is a delivery model, not a promise that every fault can be resolved by the next visiting person. The service identifies when an issue needs a separate trade, additional materials or a longer work window.
Who This Is For
The service suits smaller commercial premises, branch networks, dispersed buildings and clients supplementing local site teams. It is useful where facilities demand is intermittent or a planned visiting arrangement provides a better fit than continuous on-site cover.
What We Manage / Deliver
The scope defines sites, visit frequency, tasks, reactive arrangements and follow-up. It connects inspections, selected maintenance, minor repairs and specialist attendance. Outputs include a visit schedule, site access instructions, task records and a list of unresolved work with the next action identified.
Typical Service Activities
- Prepare work lists and confirm access before a visit.
- Coordinate routine checks and suitable maintenance activities.
- Record visible defects and raise defined follow-on requirements.
- Arrange specialist input where the task needs it.
- Review repeated visits, access failures and outstanding materials.
How the Service Works
Service Delivery Model
Scheduled rounds, task-specific visits and reactive work are agreed around demand. Route planning considers travel, visit duration, task priority and access windows. Cost depends on site spread, attendance frequency, trade requirements, materials, parking, escorts and working hours. A nearby site is not automatically a substitute for the correctly equipped resource.
What We Take Responsibility For
We coordinate and deliver the activities allocated to the mobile arrangement, maintain visit records and escalate work outside the attending resource's scope. The client provides accurate access instructions, relevant hazards and local authority to receive the visit. Keyholding and unattended access require explicit arrangements.
Technology & Systems
Visiting resources need current instructions and a reliable way to return task evidence. We agree how site information, photographs, asset references and job updates are recorded. The chosen method must account for connectivity limits and protect access information, with records returned to the agreed client reporting route.
Compliance & Governance
The visit plan identifies site induction, task competence, safe access and supervision requirements. A general visit must not substitute for a specialist task. HSE's maintenance guidance explains why equipment work needs competent people and properly planned instructions, including when contractors are unfamiliar with a site.
SLA & Response Management
We agree which activities wait for a scheduled visit and which trigger separate attendance. Priorities reflect operational impact, not simply the next route through the area. The arrangement defines booking, updates, escalation and how travel or access constraints are handled within the agreed response plan.
KPI & Performance Management
Useful measures include planned visits achieved, tasks completed, access failures and reasons for return attendance. First-visit completion needs a clear definition: an investigation completed as instructed is different from a repair awaiting parts. Separate those outcomes to understand where planning needs improvement.
Reporting & Client Visibility
Each visit record should make the outcome clear without a separate call to reconstruct events. Reports show attendance, tasks, findings and follow-up, together with upcoming visits. Repeated access failures or incomplete asset information become named actions for the service review.
Asset / Site / Portfolio Data
Provide addresses, asset descriptions, photographs, access contacts, parking or loading instructions and operating hours. Identify restricted areas, permits, keys and available facilities. Accurate equipment details help scope the task and reduce avoidable repeat journeys for missing information or incompatible materials.
Our Delivery Process
Mobilise: establish site profiles, task lists and visit arrangements. Operate: deliver scheduled and instructed attendance. Monitor: review completion and causes of repeat visits. Improve: refine routes, information and task grouping. Handover includes access arrangements, forthcoming visits and outstanding work.
Service Outcomes / Benefits
Mobile FM gives you a defined support arrangement suited to dispersed or intermittent demand. Better visit preparation and clear follow-up help make attendance productive, while the records show when a site needs more regular support or a specialist project.
Why Black & White Facilities

FAQs
Is mobile FM suitable for one site?
Yes. A single premises with intermittent support needs can use scheduled visits. The decision depends on task demand and the level of continuous cover required.
Does every visit use the same trade?
The task determines the skill required. Routine activities and specialist technical work need different resources, so the instruction identifies the appropriate attendance.
Can several small jobs be grouped together?
Yes, where the tasks, competence and access window fit. Supply the job list before the visit so the work can be scoped and prepared properly.
What happens if the site cannot provide access?
The visit record captures the restriction and outstanding tasks. The service agreement explains rebooking and any associated charges; access instructions are corrected before the next attendance.
Is mobile FM an emergency response service?
Scheduled mobile visits do not themselves establish emergency cover. Any emergency attendance requirements need separate agreed priorities, operating hours and escalation arrangements within the service scope.
